Overview
ScoringWorld LLC (Sheridan, Wyoming, USA; "us", "we", or "our") makes the ScoringWorld Tools for Sibelius (including Graphical MIDI Tools and AI Notator Assistant) and operates scoringworld.com and graphicalmiditools.com. This page explains what personal information we collect, why, and who we share it with.
We collect only the data needed to sell, deliver and activate our products, run AI Notator Assistant, support you, and understand how our sites are used. We do not sell your personal information. We share it only with the service providers listed below, and only as needed for them to do their job.
1. Information collected by the desktop software
a. Licensing (all tools)
To assign and check a license (trial or commercial), the software uses:
- Your name and email address
- Your product license or trial key
- A "computer ID": an encoded string based on essential system components of your computer, which contains no personal data
- The date and time of activation and your operating system (macOS or Windows)
b. AI Notator Assistant
AI Notator Assistant needs an online account. When you use it:
- Sign-in: your email address, and a one-time code we email you. Each signed-in computer is stored with a hashed machine identifier, the app version, and when it was last used.
- Your requests: the text you type and a summary of the score needed to answer it (for example instruments, bar numbers, the selection, and notes when the assistant reads them) are sent through our server to OpenAI, which produces the answer. Our server passes them on and does not keep the text of your requests or your score, unless you send it to us in a problem report (below).
- Usage records: for each request we store the time, the amount of AI processing used (tokens), its cost in credits, and technical status information, to charge credits, prevent abuse and support you.
- OpenAI processes requests under its API data policy: it does not use API data to train its models by default, and it may keep requests for up to 30 days to monitor for abuse before deleting them.
- Problem reports: when you choose Report a problem and press Send, we store what you asked, what happened, what you say should have happened, the app version, and an identifier of that request. If you leave Include technical details checked, the report also contains the commands the assistant produced, their results, and the score summary described above (for example the number of bars, the instrument names and the selection), but never the score itself. Reports are sent only when you press Send, and are used to fix problems and improve AI Notator Assistant.
- Anonymous reports: Send anonymously is checked by default. An anonymous report is stored without your account or computer. It still keeps the request identifier, which links it to the usage record of that request (below), so we may be able to tell which account it came from when we investigate it.
- Local usage log: the app keeps a log of your requests on your own computer to help diagnose problems. The log itself is not uploaded; only the parts of a single request that you choose to include in a problem report are sent to us.
2. Information collected by our websites
Our websites collect the information above for purchases, product activation and your account, and your email address if you request a free edition or subscribe to our newsletter.
Like most websites, our servers also record information your browser sends when you visit ("log data"): your IP address, browser type and version, the pages you visit, and the time and date of your visit.
3. Service providers
We share personal information only with these service providers:
- Payments: FastSpring (merchant of record for AI Notator Assistant plans and credits, and some tool purchases), Stripe (which may act as merchant of record) and PayPal. They receive your name, email, payment and billing details to process the payment. We never see or store your full card number.
- AI processing: OpenAI, for AI Notator Assistant requests, as described above.
- Email: Google Workspace, to send order, license, sign-in and account emails; MailerLite, to send our newsletter and tips if you subscribe or request a free edition. You can unsubscribe at any time.
- Analytics and advertising: Google Analytics and Google Tag Manager, and the Meta (Facebook) Pixel and Conversions API, to measure how the site is used and the results of our ads.
- Spam protection: Google reCAPTCHA on some forms.
- Hosting: our web hosting provider, which stores the site and its database.
4. Cookies
Our websites use cookies:
- Essential cookies keep you signed in and remember your checkout session. They are required to sign in and to purchase.
- Analytics and advertising cookies from Google and Meta help us understand how visitors use the site and measure our ads.
Visitors from Europe are asked for consent before analytics and advertising cookies are used. You can change your choice at any time with Cookie settings, or block or delete cookies in your browser settings.
5. How long we keep data
- Account, license and order records: for as long as you have an account, and afterwards as long as required for tax and accounting.
- AI Notator Assistant usage records: for as long as you have an account, for billing and support.
- AI Notator Assistant problem reports: for as long as they help us fix problems and improve AI Notator Assistant. You can ask us to delete the reports you sent with your account (see section 6).
- Sign-in codes: they expire after 15 minutes and are kept only briefly afterwards to prevent abuse.
6. Your rights
You can ask us for a copy of your personal information, to correct it, or to delete your account and its data, by writing to support@scoringworld.com. Depending on where you live (for example in the EU, UK or California), you may have additional rights, including the right to object to some processing and to complain to your data protection authority.
7. Compliance with laws
We will disclose personal information where required to do so by law or subpoena.
8. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. We post the new version on this page with its date. Changes are effective when they are posted.
